How to Cancel Buildertrend: Step-by-Step Guide, Contract Terms, and Data Export
Everything you need to know before you cancel - including the data export process most people don't find out about until it's too late
Section 1: Before You Cancel - Check Your Contract Status
Determine your contract type
New Buildertrend customers typically sign an annual contract. After year 1, you may have switched to month-to-month. Check your original contract or contact Buildertrend support to confirm your billing type and renewal date.
Find your renewal date
Log into your Buildertrend account and go to Account Settings to find your renewal date. Or check your email for the original contract confirmation. You need at least 30 days before this date to cancel without being billed for another period.
Annual contract mid-cancellation
If you're mid-way through an annual contract and cancel, you are generally responsible for the remaining balance. Buildertrend does not offer prorated refunds on unused months. Your only leverage is documented service failures or platform issues that prevented you from using the software.
Section 2: The Cancellation Process (Step by Step)
Log in as account administrator
Cancellation must be initiated by the account administrator. If you're not the admin, contact whoever set up the Buildertrend account.
Contact Buildertrend directly
Buildertrend does not have a self-service cancellation button. You must contact their account management team via phone (1-888-415-7165) or email. You can also reach out through your dedicated account manager if you have one.
Submit your cancellation request formally
Request confirmation in writing (email). State your desired cancellation date and confirm your understanding of any remaining contract obligations. Keep a copy of all correspondence.
Receive cancellation confirmation
Buildertrend should send a written confirmation of your cancellation with your final billing date and account closure date. If you don't receive this within 2-3 business days, follow up.
Export your data BEFORE the account closes
This is the most important step. See Section 3 below. Do not wait until after cancellation confirmation to start your export. Begin immediately after submitting your request.
Verify final billing
Check that only the correct final invoice is processed. If you're billed for a period after your cancellation date, dispute it immediately with your account manager and in writing.
Section 3: Data Export - Do This Before Cancelling
Critical: Buildertrend has no bulk export feature. You must export your data manually before your account closes.
| Data Type | Export Method | Time Required | Notes |
|---|---|---|---|
| Project schedules | PDF export per project (Reports menu) | Low (1-2 hrs) | One export per project |
| Financial reports | CSV export from Reports | Low (1-2 hrs) | Budget, invoices, cost reports |
| Customer data | CRM export (CSV) | Low (<1 hr) | Contact info, project history |
| Project documents | File-by-file download | High (4-10 hrs) | No bulk download option |
| Photos | Manual or support bulk request | Very high (8-20 hrs) | Contact support for bulk option; not guaranteed |
| Daily logs | PDF export per project | Medium (2-4 hrs) | Valuable as dispute protection record |
Recommendation: Begin the export process as soon as you submit your cancellation request. Allocate an entire business day for a thorough export if you have significant project history (2+ years).
Section 4: What to Use Instead After Cancelling
Jobber is best for service contractors (plumbers, HVAC, landscaping). If your work is primarily service calls rather than construction projects, Jobber at $39-$249/mo is much better value.
Procore is for large commercial GCs. At $20K-$100K/yr, it's significantly more expensive. Only consider it if you're doing commercial work over $10M revenue.
JobTread ($199-$329/mo) and Contractor Foreman ($49-$249/mo) offer solid construction management at lower prices. Both have free trials.
Projul is the most frequently recommended alternative for contractors who prefer CoConstruct's workflow philosophy at a similar price point.
